How an Access Control Project Actually Runs
Buyers comparing vendors rarely get told what the work looks like. Ours runs in five stages. First, the door schedule: we walk the site and document every opening — door construction, frame, existing hardware, traffic pattern — because the door hardware, not the software, is where access projects go wrong. Second, the access matrix: who can go where, when; staff vs. contractors vs. visitors; and what happens on holidays, snow days and terminations. Third, installation, scheduled around your operations — doors stay usable through the workday, and cutover happens per-door, not site-wide. Fourth, commissioning: every credential type tested on every reader, request-to-exit and fail-safe/fail-secure behaviour verified (fire code requires specific unlock behaviour on alarm, and we test it with the panel, not on paper). Fifth, administrator training and documentation — including the boring-but-critical part, a written procedure for revoking access the day someone leaves.
Doors Are Where Access Control Succeeds or Fails
Software demos sell access control; door hardware determines whether it works. The most common problem we’re called to fix isn’t a system failure — it’s a door that was never suitable for automation in the first place.
Door and frame condition. A door that has dropped on its hinges, a frame racked from years of slamming, or a strike plate that no longer aligns will generate constant “door forced” and “door held open” alarms. Staff learn to ignore the alerts, then prop the door, and the access system becomes decorative. Doors get assessed and corrected before hardware goes on them.
Closers matter more than people expect. If a door doesn’t reliably close and latch on its own, no lock in the world secures it. Adjusting or replacing closers is unglamorous work that prevents most nuisance alarms.
Glass and aluminium storefront doors need different hardware than solid-core wood or hollow metal — often maglocks with proper egress devices rather than electric strikes, which brings fire-code requirements into the design.
Fire-rated doors cannot be modified freely; the assembly’s rating depends on its listed hardware, and drilling the wrong hole voids it. Any electrified hardware on a rated door must be listed for that use.
Exterior doors in the Maritimes face freeze-thaw, salt and wind loading. Hardware rated for a heated interior corridor fails early on a loading-dock door that swings into a February nor’easter.

Cards and fobs remain the workhorse — cheap to issue, easy to manage, and compatible with photo ID programs so one badge opens doors and identifies the wearer. Mobile credentials put the key on a phone. Staff stop sharing fobs because nobody lends their phone, and issuing or revoking happens instantly and remotely — useful for contractors and multi-site staff.
Biometrics (fingerprint and finger-vein readers) remove the credential entirely for high-security rooms — server rooms, pharmacies, cash rooms, labs. We deploy them where the security case justifies the cost and enrolment overhead, usually as a second factor on a handful of doors rather than across a whole building.
PIN pads still have a place as a second factor, and as a fallback when someone forgets everything else.
Integration: One System Instead of Four Vendors
Access control gets dramatically more useful when it talks to the rest of your security. Tied to video surveillance, every entry event has a face attached — when a door forced or door held alarm fires, the operator sees the camera, not just a log line. Tied to intrusion alarms, arming follows schedules automatically and an after-hours valid entry can disarm only the areas that person is allowed in. Tied to elevators, credentials control floor access in multi-tenant buildings. And because Northeastern installs and services all of these, integration is a design task, not a finger-pointing exercise between three contractors.
Administering the System After We Leave
The system you buy is only as good as the process around it, and the failure is almost always administrative rather than technical. Three habits separate the sites that stay secure from the ones that quietly don’t:
Offboarding that actually reaches the access system. When someone leaves, HR closes payroll and IT closes email — and the access credential often stays live for months. Tie credential revocation to your existing departure checklist, with one named owner.
Periodic access reviews. Twice a year, pull a report of who has access to what and read it. You will find contractors from finished projects, staff who changed roles, and credentials assigned to people nobody recognizes. Ten minutes twice a year prevents the situation where nobody can say who can enter the building.
Audit trails that get used. The log answering “who opened the stockroom at 6:40 a.m.” is only useful if someone knows how to pull it. We cover this in training, and it’s worth having two people who can do it rather than one.

A short note on records, because it comes up in disputes more often than anyone expects. Access logs are business records: they can support a disciplinary process, an insurance claim, or a police file, and they can equally be requested by a party you did not anticipate. Decide how long you retain them, who may pull them, and for what purposes — and put that in writing alongside your privacy policy. Systems configured with individual credentials and clear retention rules produce logs that hold up. Shared credentials produce logs that prove nothing.
